CourseArc has built-in workflow functionality to help manage the content development process. Before you begin, you should review the different user roles that can be assigned in CourseArc


There are four workflow status assignments within CourseArc: 

  • Draft
  • In Editing
  • Ready for Approval
  • Approved/Locked


All pages are set to Draft by default when created. Page status can be changed at the page or module level.


Only a System Administrator, Course Administrator, or Course Leader can change the status of a page. Editors can view page status. All other user roles—Graphic Designer, Glossary Editor, Commenter, and Viewer—are not shown the page status.

Only a System Administrator, Course Administrator, or Approver can approve pages.

To change a page's status, select the appropriate workflow status from the Status dropdown.


Only a System Administrator, Course Administrator, or Approver can approve a page by clicking Approved in the Approval section.


Once a page is approved, it is automatically locked and cannot be edited.


Only a System Administrator, Course Administrator, Course Leader, or Approver can unlock a page.

To change the status of multiple pages within a module, go to the Manage Module view and select all the pages that need to be updated to the same status. Select the appropriate status from the Select a Status dropdown and click the Update button.

Note: Enable the checkbox in the column header row (to the left of the Move column header) to select all pages within a module.
